Conference & Events Coordinator

DoubleTree by Hilton Karaka is on the hunt for a Conference & Events Coordinator. Join the pre-opening team at DoubleTree by Hilton located in the beautiful rural town of Karaka, just 30 minutes south from Auckland city, the new DoubleTree by Hilton Karaka is part of the famous New Zealand Bloodstock Sales Centre; the country's largest international thoroughbred auction venue. The hotel will feature 120 stylish guest rooms, including four spacious suites, a restaurant and bar, fully equipped gym, pool and two meeting rooms. The hotel will also have full access to Karaka Pavilion which encompasses four meeting and event spaces, accommodating events from 12 to 600 people.
**About the role**
In your new role as Conference and Events Coordinator, you will be responsible to assist with Groups, Conference and Events throughout the sales and planning cycle. From maximising revenues for the conference and events department by driving sales leads and increasing conversions through to the successful planning, invoicing and potential rebook from the client. You will be responsible for handling all customer enquiries efficiently, with the aim to convert enquiries into confirmed sales, and continue to develop professional relationships with guests and business contacts. You will enjoy working as part of a team in a faced-past environment, and enjoy interacting with guests and team members alike.
**What will I be doing?**
In your new role your adaptability, collaborative flair, attention to detail and dependability will be second to none. Due to the fluid nature of the role, at any given point you may be responsible for:
- C&E sales and enquiries
- Property site inspections
- Event planning and invoicing
- Group management and reservations
- Forecasting and pace review
- Yielding and diary management
- Spot checking and amendment to hotel revenue systems
- Data entry and administration
- Content and collateral creation and print in line with Brand Identity guidelines
- Marketing brand alignment across internal and external pathways
- Any other projects or tasks as requested by the Commercial Manager

To successfully fill this role, you will have the attitude, behaviours, qualifications and values including:
- Experience in similar role
- Knowledge in software and programs such as OnQ PM, R&I, SM and Delphi Salesforce would be highly regarded
- Able to take management direction and works well both with a team and solo to achieve goals
- Exemplary organization, future planning and time management skills.
- Willing to work irregular hours and over weekends if needed
- Self-motivated and able to work effectively without constant supervision
- High standards of appearance and grooming
- Excellent communication skills
- Interested in self-improvement and providing leadership
