We are looking for a skilled and experienced Executive Coordinator to provide administrative support to our Head of Client Solutions and Head of Delivery in New Zealand. In this role, you will be responsible for assisting the teams to achieve their strategic priorities by providing accurate and timely information, coordinating meetings, monitoring and driving KPIs, and managing data hygiene within Salesforce.
**Responsibilities**:
- Support Client Solutions leadership with accurate and up-to-date sales progress and forecasts
- Help manage schedules and coordinate meetings with internal/external stakeholders
- Assist the team with presentation material, primarily internal collateral
- Monitor and drive KPIs for both Client Solutions and Delivery teams
- Monitor and drive data hygiene within Salesforce
- Calendar and inbox support for both leaders
- Monitor and update Delivery resourcing
- Meeting minute taking
- Deliver and coordinate training, on-boarding and support to the team
- Be an expert in our systems and processes, including Salesforce and Vista
- Process early sales data and assist in preparing packs for presentations
- Management of client events
- Provide cover for Studio Manager when required
**Your experience**:
- Solid experience in a similar or equivalent role
- Direct experience working with leadership, front line sales and delivery teams
- Robust understanding of sales operations and processes, including CRMs, sales reporting etc.
- Strong competency in Excel
- Proficient in PowerPoint
- Excellent interpersonal and communication skills
- Results-oriented with strong problem-solving skills
- Ability to prioritize and manage time effectively
- A "no task too small" mentality
- Interest in the design and build of commercial office space
- Ability to work collaboratively across departments to achieve results
- High level of discretion with personal and confidential information
- Ability to stay calm and on-task in high-stress situations
