Te whiwhinga mahi - The opportunity we have**In your new role as Executive Assistant, you will be directly reporting to the Programme Director and will be responsible for providing executive administrative assistance, dealing with high level, urgent and confidential matters. You will work closely with the Programme Director and the wider team. You must be confident in communicating with people of all levels within the organisation, industry, and wider community.

To be successful in the role, you will have extensive administrative experience within a large corporate environment, where you have previously supported someone at a senior management level.

You will have a proven record in establishing and maintaining constructive and effective relationships with internal staff and relevant industry stakeholders.

You will ideally have experience in developing new processes and improving existing processes, as well as a proven ability to plan, co-ordinate and follow through on projects and deadlines.

Additionally, you will be an intermediate to advanced user of all Microsoft Office products, and other project management tools, with a friendly can-do attitude.

An interest in the transport sector and some experience in project management would be advantageous.

Key responsibilities include:

  • Providing a professional frontline for general enquiries for the Programme Director and their wider team
  • Supporting effective working relationships with key stakeholders, both internal and external, and liaising regularly with them on behalf of the Programme Director
  • Diary management and meeting coordination, coordinating conflicting schedules, prioritising demands, organising and attending team meetings, coordinating agendas and minute actions
  • Arranging travel for the Programme Director and their direct reports
  • Coordinating team events and conferences
  • Expense reconciliations, processing, data entry and creation of purchase orders
  • Producing reports and presentations
  • Working with the Communications team and assisting with communications
  • Additional administrative and general office duties involving document creation, file and record maintenance, recording of expenditure and budget management
  • Managing correspondence effectively
