JOB BRIEF
We are looking for an experienced Senior accounts and administrative assistant to join our team. You will perform a variety of accounts and administrative tasks, including managing tax requirements, financial reports, debtors & creditors, payroll, marketing, website, assisting with phones & scheduling jobs and emails.
For this position, you should be able to use your organizational skills to manage your tasks & time, as you will collaborate with clients and colleagues in a busy environment. You should also have excellent verbal & written communication skills.
Ultimately, you should be able to support our senior management team and ensure our day-to-day office operations run smoothly.
Responsibilities
· Tax & ACC requirements, including PAYE, GST, FBT, Provisional tax etc. Using Xero accounting system.
· Weekly payroll, using Crystal payroll and managing leave and on call roster
· Monthly reporting, including PnL and reporting to directors
· Debtors & creditors, including payment and debt collection
· Marketing, including advertising website and social media
· Human resources including agreements, uniform, tools of the trade
· Health & Safety policy and Site Safe requirements management
· Develop, implement and improve office policies and procedures
· Resolve client complaints and expand relationships
· Insurances and claims
· Ensuring all building maintenance, rent & landlord needs are met.
· Maintain & organise office.
· Support Senior team with daily clerical tasks
· Manage phone calls & emails
· Greet and provide general support to visitors
· Building security
Requirements and skills
· Proven work experience as a senior administrative assistant & accounts management.
· In depth understanding of office management and daily operations
· Proficient hands-on experience with MS office & Simpro
· Excellent verbal and written communication skills
· Strong organizational and time management skills
· Demonstrable ability to communicate with various clients, stakeholders, technicians etc.
· Proven ability to juggle multiple account management projects at a time, while maintaining sharp attention to detail.
· Working knowledge of office equipment, including copiers, laptops, phone systems
· Higher qualifications, i.e. financial and as a personal assistant
