Finance & Payroll Administrator

Brooklands Pet Products are seeking a Finance & Payroll Administrator to join our friendly, supportive office team. Brooklands is a New Zealand owned and operated company, and specialises in the importation of the best and most trusted pet specialty brands from all over the globe.
Reporting to the Finance Manager, this is a key role within our wholesale and distribution business, responsible for performing accurate financial processing across accounts payable, accounts receivable, payroll, bank reconciliations, and month-end activities. As a dynamic and growing business, this role will also provide general office coordination to support a well-organised and efficient workplace.
We are looking for someone with a positive, can-do attitude who is willing to learn and contribute to the success of the wider team.
Ideal start date of mid-January.
As an ideal candidate, you will have:
- Experience in a finance or accounting support role
- Strong Excel skills (pivot tables, VLOOKUPs, basic formulas)
- Demonstrated accuracy, attention to detail, and problem-solving skills
- Ability to manage deadlines and work independently
- Strong communication and relationship-building capability
It would be helpful if you also had:
- Experience with Power BI
- Familiarity with Microsoft Dynamics 365 Business Central or similar ERP
- Experience with payroll systems such as iPayroll or Timecloud
Accounts Payable
- Process supplier invoices, credit notes, and payment runs
- Maintain accurate supplier records
- Reconcile supplier statements and resolve discrepancies
- Manage corporate card expense claims and supporting documentation
Accounts Receivable
- Prepare customer invoices and credit notes
- Maintain customer statements and follow up outstanding balances as required
- Support key customer account processes, including reconciliations and statements
Banking & Reconciliations
- Complete weekly and month-end bank reconciliations
- Prepare and process bank payments (including international payments)
- Maintain accurate cashbooks and allocate transactions correctly
Rebates & Adjustments
- Calculate supplier and customer rebates in line with agreements
- Maintain rebate schedules and supporting documentation
- Prepare and support rebate-related month-end journals and accruals
Payroll
- Process weekly payroll using iPayroll, Timecloud or similar systems
- Maintain payroll records, leave balances, employee changes and timesheet approvals
- Ensure compliance with NZ employment and payroll legislation (supported by outsourced HR function)
Month-End & Reporting Support
Support the Finance Manager in:
Preparing basic journals, or support for journals, including accruals, prepayments, reclasses, and rebates
- Assisting in preparation of monthly management reporting
- Assist with preparation of GST returns, including coding checks and supporting documentation
- Support PAYE processing and filing
- Co-ordinate and collate information for FBT returns, including employee benefits and vehicle use
Office & Administration Support
- Act as the go-to person for general office coordination
- Order stationery, kitchen/amenities supplies, and office consumables
- Liaise with external service providers where needed (cleaners, maintenance, waste contractors, etc.)
- Maintain an organised, tidy, and well-presented office environment
- Provide general administrative support to the wider team as required
