**Mō te tūnga | About the role**
As the Programme Coordinator - Furniture, Fixtures and Equipment, you will play a pivotal role in supporting and coordinating multiple projects and programmes under the guidance of Project/Programme Managers. Your responsibilities will encompass procurement, logistics, stakeholder communications, and overall project coordination, ensuring that project goals and deadlines are met.
Key Responsibilities:
- ** Stakeholder Engagement**: Foster and maintain relationships with stakeholders, including clinical teams, to enable project success.
- ** Meeting Coordination**: Organize and support project/programme meetings, including agenda and minutes preparation, and maintain decisions registers.
- ** Documentation**: Coordinate the production of project/programme documentation, update plans, schedules, funding, and resource requirements as needed.
- ** Procurement**: Manage the procurement of Furniture, Fixtures and Equipment by obtaining quotes, capturing supplier decisions, raising requisitions, and tracking budgets. Liaise with internal and external stakeholders to ensure timely deliveries and manage associated databases.
- ** Resource Management**: Assist with the planning and management of FF&E resources, subcontractors, and consultants as directed.
- ** Financial Oversight**: Assist with payment of accounts, monitor project costs, and coordinate scope change requests within allocated budgets.
- ** Risk Management**: Monitor project risks and issues, as well as milestones and deliverables to track progress.
- ** Project Coordination**: Identify and manage dependent tasks across multiple projects and programmes.
- ** Reporting**: Produce reports and presentations using organization-prescribed frameworks, tools, and templates.
- ** Documentation Management**: Maintain file and folder structures and collate project/programme documents for accessibility and future use.
- ** Assurance Reviews**: Coordinate project assurance reviews.
- ** Handover**: Collate handover documentation to support transition to business-as-usual.
- ** Self-Development**: Maintain and update your knowledge base as appropriate.
- ** Flexibility**: Perform other duties within the scope of this role as agreed upon with your manager.
**Ngā pūkenga me ngā wheako | Skills and experience**
**Essential**:
- NCEA Level 3 qualification or project coordination experience within the construction industry.
- Experience supporting multiple projects and individuals involved in them.
- Knowledge of Government Rules of Procurement.
- Strong financial knowledge and numerical capabilities.
- Understanding of FF&E requirements in a health setting.
- Knowledge and understanding of project management methodologies.
- Experience using project management software and tools.
- Exceptional verbal, written, and presentation skills.
- Experience processing and monitoring vendor payments.
- Advanced computer skills, proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
**Desired**:
- Additional project coordination experience.
- Experience and knowledge of the Public Sector environment.
- Project Management training or qualifications.
