As the Team Coordinator for our busy branch in MBIE, you will provide exceptional administrative support and coordination to the branch leadership team, including Directors, National Managers and their teams.

The role has a broad range of responsibilities and includes providing diary management, meeting and event management, arranging domestic and international travel, branch reporting, and other essential office management and administrative activities as required.

The Business and Consumer branch plays a unique role in supporting the market through the provision of tools, resources and advice so that New Zealand businesses can grow and thrive. It ensures that all market participants are well informed, adequately protected and that trading is fair.

Working within a close-knit cohort of Team Coordinators, you will provide proactive and timely administrative support across the branch. Supporting several managers, you will complete a wide variety of tasks where no two days will be the same.

**Day to day you will**: (some examples not limited to)

Provide administrative support to the leadership team in the branch.

Coordinate and support the various business units within the branch with regular reporting.

Organise internal and external stakeholder meetings and functions, large and small, including venue coordination, setting up agendas, organising catering and minute taking.

Be the go-to person for corporate MBIE policies and processes.

Liaise and build strong working relationships with internal and external stakeholders.

Arrange domestic and international business travel when required.

Support different groups in the branch with Sensitive expenditure memos.

Support recruitment process (set up interviews, send tests, onboarding & induction).

Invoice coding and uploading.

Support the leadership team with business continuity plan development and maintenance.

- Some experience in providing administrative support to a team.
- Willingness to learn as you go.
- The ability to organise and prioritize a busy, high demanding workload effectively.
- Strong written and verbal communication skills.
- Excellent working knowledge of the Microsoft Office suite.
- Proven track record in providing excellent customer service.
