We have an exciting opportunity for a coordinator to support the Investment and Portfolio directorate and help us deliver on mahi that matters.
The Team Coordinator role is a vital part of our directorate. You’ll be responsible for supporting the National Manager and newly established leadership team to build a first-class investment delivery service for Fire and Emergency New Zealand.

We’re looking for an exceptional individual to support the Investment and portfolio directorate at Fire and Emergency New Zealand. The work we do has a direct impact on our people and the communities we serve, and your support will help us deliver on mahi that matters.
As our Team Coordinator, you’ll directly support the Investment and Portfolio leadership team to deliver project outcomes for the organisation. The work includes organising and supporting meetings and workshops, preparing invoices and documents, and providing general support for the wider team. You’ll be a key representative of the directorate to the wider organisation.
For your development and support, you’ll report to the Manager, Project Support as a member of the Project Support team. And you may have opportunities to take on project-related work outside of your core duties.
The Investment and Portfolio directorate is a well-established function within Fire and Emergency. We have lots of different and complex projects running simultaneously, supporting each other in the work we do. And our mahi reaches across the organisation and across the motu.
Part of our mahi over the next two years is to design and embed a Development/Competency framework and pathway. You will be supported to make your individual career goals come true.

As our new team member, you’re an experienced coordinator, organised administrator and collaborative relationship builder. You’re meticulous with your work and always strive to do your best. And you can demonstrate your ability to work in ambiguous environments under pressure, while still delivering great work.
This role requires experience in a similar role where you’ve been coordinating and providing support for others (ideally a leadership team), while continuing to drive your own development.
Ideally you have experience with some or all of the following tasks:
- Organising and scheduling meetings.
- Preparing papers for leadership meetings or Board meetings.
- Editing, proofreading and formatting documents using plain language principles.
- Taking minutes for meetings, maintaining action logs and management records.
- Coordinating end-to-end recruitment activities, including general HR administration.
- Managing diaries for multiple people, as well as shared inboxes.
- Preparing purchase orders and invoices for financial reconciliation.
- Maintaining team records and records management practices.
- Building and maintaining effective working relationships with internal and external stakeholders, such as senior managers, executive assistants and suppliers
- Handling and securing confidential information.
