Administration Officer

**Purpose of the Role**To support the delivery of the commercial contract to our clients by ensuring accurate and efficient receiving and assigning of work as it is logged. The role is also responsible for providing administration support to the Manager - Contract Support as and when required. This is a great role for a graduate
**Key Accountabilities**The following list of key accountabilities is not exhaustive and the incumbent will need to work within a wider brief if necessary in order to achieve the purpose of the role
- Respond to logged worked requests in a timely manner
- Develop and maintain excellent relationship with all internal and external stakeholders and customers
- Answer all incoming calls to the Helpdesk in a clear and professional manner and ensure messages are relayed as appropriate
- Issuing and assigning work orders accurately and to appropriate internal and external resources (internal trade teams and external contractors)
- Monitor jobs allocated to ensure completion on time and within the specifications of the job logged
- Following up internal parties and external contractors on the progress of logged jobs
- Updating internal and external clients on the progress of logged jobs
- Raise purchase orders for suppliers and contractors
- Process invoices from contractors for job related work
- Maintain the site key register
- Manage the planned maintenance schedule and ensuring completion of tasks and relevant documentation Manage and maintain the closed asset registers (toilet and playgrounds)
- Manage and maintain the BWOFs register
- Be responsible for your own health and safety, that of your team and others in the workplace
- Ensure any hazards, near misses and injuries are reported immediately via the company’s reporting channels and procedures
- Actively participate and adopt the company’s Health and Safety policies, procedures and objectives
- Demonstrate a keen attitude to Health and Safety and lead by example
**Experience and Qualification**:
- Experience in a fast-paced customer service environment, ideally within a facilities maintenance government contract
- Relevant tertiary qualification desirable
- Advanced MS Office skills
- Excellent communication skills - verbal and written
- High level of initiative and ability to work unsupervised
- Excellent attention to detail and accuracy
- Excellent ability to multi-task
- A great team player
- Willingness to help others
- Current driver’s license
