**Te Tūranga | About the Role**

As Administration Documentation, you’ll provide critical support to our export documentation process, ensuring shipping and certification documents are accurate, timely, and compliant. This 9-month fixed-term position covers our busiest export season, where you’ll play an important role in keeping everything moving.

You’ll work closely with shipping lines, regulatory authorities, and customers across major markets including the USA, Canada, China, and the UK. From preparing Health Certificates to coordinating DHL shipments and managing Bills of Lading, this role is central to delivering the high standard of service our customers expect, and regulatory bodies require.

**Key responsibilities include**:

- Process Telex Release requests with shipping lines once customer payments are confirmed.
- Coordinate DHL courier shipments to ensure secure and timely delivery of documents overseas.
- Prepare and raise Health and Halal Certificates, and submit documents to MPI for approval.
- Manage Bills of Lading (BOL) and upload key documents into Prodoc.
- Distribute documents accurately to paperless and non-paperless customers.
- Provide administration support to the wider Documentation team.

You’re someone with an eye for detail, a methodical approach, and a strong customer focus. You’ll bring:

- Previous administration or documentation experience, ideally within export or shipping.
- Strong attention to detail and accuracy in handling official documents.
- Great organisational skills and the ability to manage multiple priorities to tight deadlines.
- Proficiency in Microsoft Office; familiarity with Prodoc is an advantage.
- Clear and confident communication skills for liaising with shipping lines, MPI, and customers.
- A proactive, team-focused mindset with the drive to contribute to continuous improvement.
