Pacificomm is seeking an experienced Administrative Support Specialist to join our team in Auckland.

In this full-time role, you will be responsible for providing high-level administrative support to our customer support account manager, ensuring management of stock holdings/movements for external stakeholders, and that value-added servicing is completed to a high degree of accuracy and efficiency.

  • Coordinate with internal teams and external providers to ensure inventory is stocked, orders are shipped, and deliveries are completed on time.
  • Review and update order status, communicate delays or issues to relevant stakeholders.
  • Enter and maintain accurate data in inventory management systems, including product details, stock levels, and shipment tracking.
  • Update system records related to orders, shipments, and inventory movements to ensure real-time accuracy.
  • Verify and process invoices from providers for services rendered, including warehousing, transportation, and other logistics-related expenses.
  • Ensure all charges are correct and reconcile discrepancies between vendor invoices and internal records.
  • Work with providers to track inventory levels, manage stock replenishment, and avoid stockouts or overstocking.
  • Ensure accurate physical counts and assist in periodic inventory audits.
  • Implement and monitor procedures to ensure efficient warehouse and inventory management practices.
  • Act as a liaison between the company, suppliers, and carriers, ensuring smooth communication and resolving any operational issues.
  • Address customer inquiries, concerns, or complaints regarding delivery or inventory issues and work to resolve them promptly.
  • Prepare and analyse performance reports on logistics operations, such as delivery times, inventory accuracy, and efficiency.
  • Use data to identify areas for improvement and make recommendations to optimize operations.
  • Identify inefficiencies in logistics processes and recommend solutions to improve workflow, reduce costs, and enhance service quality.
