About the Role

The primary purpose of this position is to provide high-quality, timely executive support to a Deputy Chief Executive in the Central Region.

You will be responsible for managing critical administrative functions, including diary management, scheduling, travel booking, meeting preparation and minute taking, coordinating administrative activities, and responding to correspondence.

This role requires someone who can work effectively in a complex multi-stakeholder environment, anticipate needs, and manage relationships at all levels with discretion and insight.

You'll need to have a calm and flexible approach to work, strong organizational skills, and advanced computer skills, including MS Office and databases.

Working closely with senior leaders, you'll contribute to building strong relationships with internal and external stakeholders, and drive proactive solutions to meet their needs.

To succeed in this role, you'll have previous experience in a similar position, preferably within a large and complex government department, and possess excellent interpersonal and communication skills.

Job Description

Key Responsibilities:

  • Provide high-level administrative support to a Deputy Chief Executive, including diary management, scheduling, and travel booking.
  • Coordinate meetings, prepare minutes, and respond to correspondence in a timely and professional manner.
  • Develop and maintain effective relationships with internal and external stakeholders, including senior leaders, managers, and staff members.
  • Manage competing priorities, deadlines, and tasks while maintaining attention to detail and confidentiality.
  • Contribute to building a positive and inclusive work environment by promoting a culture of excellence, respect, and open communication.

Requirements:

  • Bachelor's degree in Business Administration, Public Administration, or related field.
  • Minimum 5 years' experience as an Executive Assistant or in a similar role, preferably within a government department.
  • Excellent communication, interpersonal, and organizational skills.
  • Advanced computer skills, including MS Office, databases, and other software applications.
  • Able to work independently and collaboratively as part of a team.
  • Familiarity with government policies, procedures, and protocols preferred.
