We are seeking an experienced Administrative Support Specialist to provide exceptional support to our New Zealand Leadership Team. As a key member of our team, you will be responsible for ensuring the smooth management of daily operations.

You will be a super-efficient and organised individual who can keep multiple plates spinning with ease. You will have great time management, adaptability, and prioritisation skills, as no two days will be the same.

The successful candidate will have experience managing calendars, coordinating meetings, and preparing supporting documents. You will also have excellent written and verbal communication skills and be able to manage and influence various stakeholders.

In this role, you will be responsible for:

  • Providing administrative support to the New Zealand Leadership Team
  • Scheduling and managing Country Director calendar events
  • Coordinating and documenting meetings as appropriate
  • Ensuring NZ Leadership team is prepared for all meetings
  • Preparing supporting documents - Google Slides, Sheets, Docs etc.
  • Developing and managing regular project plan progress reports
  • Expense/purchase order management
  • Independent coordination of day-to-day aspects of specified program activities
