Job Summary

We are seeking a highly organized and proactive individual to join our Commercial and Industrial Sales and Leasing team as a Team Assistant.

Key Responsibilities
  1. Clients and Properties Management: Manage and update the CRM database, ensuring accurate client and property information is up-to-date.
  2. Document Preparation: Prepare and format high-level documents, presentations, and reports to support the team's marketing efforts.
  3. Marketing Coordination: Coordinate and execute marketing campaigns, liaising with external providers as needed to ensure successful outcomes.
  4. Travel Arrangements: Handle travel arrangements, including booking flights, car rentals, and accommodations for the team.
  5. Invoicing and Expenses: Process and track invoices and expenses to maintain accurate financial records.
  6. Meeting Organization: Organize client meetings and functions, including venue bookings and catering arrangements.
  7. Internal Communication: Assist with internal communication and relationship management to ensure seamless collaboration among team members.
Qualifications and Skills
  • Exceptional Organizational Skills: Demonstrate ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Attention to Detail: Show strong attention to detail and commitment to accuracy in all tasks.
  • Technical Proficiency: Possess intermediate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with AI tools like Copilot.
  • Communication Skills: Exhibit excellent written and verbal communication skills.
  • Scheduling and Travel: Display proficiency in scheduling, calendar management, and coordinating complex travel arrangements.
  • Problem-Solving: Showcase strong problem-solving skills and a proactive approach to challenges.
