JOB DESCRIPTION Entry Level Administration & Office Support   POSITION:  RECEPTIONIST RESPONSIBLE TO: The Business Owner(s)The Operations Manager DIRECTLY RESPONSIBLE FOR: The provision of receptionist services FUNCTIONAL RELATIONSHIPS WITH The branch manager Business Owner(s)The business development Business Owner(s)The Operations Manager The Clinicians for Active PlusThe patients / clientsThe referring agenciesThe suppliersThe accountant and accountant's staffThe tenants  ESSENTIAL SKILLS AND ATTRIBUTES Excellent verbal and written communications skillsHighly organised and self-motivatedTo conduct work effectively and efficientlyAbility to structure and prioritise work tasks appropriately To be flexible to variations within the branchTo hold a full NZ Drivers LicenceTo share vision of Active Plus Note: This is an entry level position with full training.
No specific prior experience is necessary.
LIMITATIONS Ordering material /equipment without consultation with the managerInternet / Email use for personal mattersPhone usage for personal calls during work hoursGiving physiotherapy related advice KEY PERFORMANCE INDICATORS DAILY TASKS To uphold the standards of Active Plus Is familiar with and adheres to all the policies and procedures pertaining to administrators Is familiar with the policies and procedures pertaining to the CliniciansMaintains Manuals with updated policy 100% of the timeUnderstands and adheres to updated procedures 100% of the timeGreets clients appropriately 100% of the timeGives registration forms to new patients and provides explanation about this 100% of the timeCompletes data entry correctly 90% of the timeChecks and updates returning/old patient details 90% of the timeMakes appointment bookings correctly 100% of the timeAnswers the phone appropriately 100% of the timeDoes not attempt to provide clinical informationTakes patient/ACC details correctly 90% of the timeKeeps the reception tidy alwaysCompletes filing and scanning tasks 100% of the timeWashes own dishes Completes general cleaning tasks as per scheduleOrganises physio appointment sheets and any required paper files correctly 100% of the timePosts mail 100% of the timePosts Discharge letters 90% of the time and ensures accurate filing of paper-files.
To uphold the standards of Active Plus Charges consultation correctly 100% of the timeEnsures that claims on-hold are brought to the attention of the Clinician immediatelyTakes money correctly 100 % of the timeAlways issues receipts correctly WEEKLY TASKS To uphold the standards of Active Plus as set out in the policies and procedures In relation to general / reception duties & health and safety Takes responsibility for the maintenance of a safe work environmentEnsures the update of the Hazard register is completed with all hazards recorded and actionedChanges linen daily 100% of the timeEnsures linen is laundered 100% of the timeWipes down treatment beds 100% of the timeEnsures that reception area and all treatment / office spaces are tidy 100% of the timeTests RCD / smoke alarms where appropriate 100% of the timeCollects and puts out rubbish weekly 100% of the timeEnsures the branch is cleaned during the week where necessary To uphold the standards of Active Plus as set out in the policies and procedures in relation to financial processing Checks overdue accounts 100% of the timeMake phone calls if needed to overdue accounts 90% of the timeDischarge notes and file correctly 100% of the time MONTHLY TASKS Assist in branch management Attends monthly Staff meetings 80% of the timeEnsures that all private services and products are charged at current prices, accurately identifying if a client qualifies for a discount rate or special offer #ActivePlus #NewZealandJobs #CareerOpportunities #JoinOurTeam
