**About the role**:
Madison is excited to be partnering with an established, dynamic, and exciting company specialising in industrial information systems and real time data to recruit a Finance Administrator position based in Ellerslie.

This is a Senior Finance Administrator position reporting directly to the CFO which requires extensive experience and offers flexible working, excellent growth opportunities, and a dynamic company culture with engaging events and team activities.

**Responsibilities**:

- Monthly invoicing process including matching timesheets to open Purchase Orders, generating draft invoices, and sending to customers once approved.
- Monitor timesheets submitted by our professional services (Engineering) staff, check and ensure timesheets are accurate and suitable for billing.
- Provide weekly timesheet reports to clients.
- Identify overdue invoices and collaborate with our Sales team to follow up outstanding payments.
- Help maintain an organised contract management system, including tracking quotes, contracts, Purchase Orders, timesheets, invoices, variations and renewals.
- Execute payroll processes and sales commission.
- Carry out the bank reconciliation.
- Maintain fixed assets register.
- Execute NZ GST return.
- Accounts payable and receivable.
- Assist with Statistics NZ compliance tasks.
- Under the support of our COO/CFO:

- Assist with financial year end reporting.
- Assist with tax compliance, including New Zealand, Australia, United States, Canada and European Union jurisdictions.
- Assist with ESOP administration tasks.
- Assist in the preparation of Statements of Work and contracts in collaboration with our Sales team.
- Assist in contract negotiations and review contractual agreements in collaboration with our Senior Leadership Team (SLT).
- Identify Support contracts due for renewal and send renewal notices to clients.
- Support inflight project reporting to internal and external stakeholders.
- Serve as a liaison between internal departments, vendors, and clients to address financial and contractual queries or concerns.
- Assist in the preparation and submission of compliance reports.

**Requirements**:

- Bachelor’s degree in finance, accounting, business administration, or a related field.
- Proven experience as a Finance or Contracts Administrator, or similar role.
- Strong knowledge of financial principles, contract management, and regulatory compliance.
- Excellent written and spoken English.
- Proficiency in financial software and tools, such Xero and Excel.
- Excellent analytical and problem-solving skills, with a keen eye for detail.
- Strong organizational and multitasking abilities, with the ability to meet deadlines in a fast-paced environment.
- Effective communication and interpersonal skills, with the ability to collaborate with various stakeholders.
- Ability to maintain confidentiality and handle sensitive financial and contractual information.
- Knowledge of Technology industry-specific regulations and legal requirements is a plus.
