**Your new company**
Our client are experts providing full and complete heating, ventilation and air conditioning services. They are professional specialists in HVAC design and project management to site inspection and advisory services to new build and retrofit upgrade construction supervision through to ongoing service and maintenance support for the life of your HVAC equipment. **Your new role**
You will provide a high standard of customer service to all customers and delivering high quality administrative support across a range of business areas. You will assist in the administration and customer services, including:
Customer Services - 45%
- Ensure service delivery of KPI’s are appropriate re timelines and response times, i.e., contracts, call outs, after hours, BWOF, etc.
- Receive and/or resolve customer queries pertaining to service and repair work and invoices and judiciously escalate outstanding issues as required
- Advise customers of necessary repair work in keeping with mechanical needs as per customer priorities and timelines as advised by technical service teams
- Process and resolve warranty issues in conjunction with suppliers and supervisory staff
- Responsible for scheduling service and maintenance work in conjunction with customers
- Work in conjunction with supervisory team to allocate work to appropriate staff and/or subcontractors for experience and competency
- Dealing with general queries both internal and external
Administration - 50%
- Responsible for administrative delivery of KPI’s appropriately re timelines and response times, i.e., labour allocation, job creation, purchase orders, reports, invoicing, etc.
- Prepare documentation for deployed staff and Subcontractors
- Responsible for all Service & Maintenance Invoicing and job costing process with input from Service Supervisor/Operations Manager
- Assists with debt recovery with input from Accounts
- Maintains building plant and equipment registers and documentation of works completed, in collaboration with service supervisor, technical manager, construction team, and sales team
- Review and appropriately revise service report narratives and invoices to enable efficient and accurate communication of service records to customer
- Perform general administrative tasks for Service and Maintenance and occasional assistance in other teams
Health & Safety - 5%
- Fully comply with the Company’s Health & Safety procedures and educate and encourage staff to be actively involved
- Ensure all safety regulations and operating procedures are followed and up to date in conjunction with H&S team
- Record Toolbox meetings in conjunction with presenter, actively participate in tool box meeting
