**Job Title: Technical Sales Assistant / Endoscopic Loan Coordinator**
**Location: Auckland**
**Reports to: Operations Manager**
**Department: Sales and Service**
**Employment Type: Full Time, working minimum 40 hours per week, Monday - Friday 8:30am - 5:00pm**
**Location: Auckland**
**Salary: 62,000 - 65,000**
**Job Summary**:
As a key member of the office team, focusing on technical sales assistant and give technical diagnosis on instrumentations. Customer service, the position plays a critical role in managing the preparation, dispatch, tracking, and return of specialized endoscopic medical devices and instruments. The coordinator collaborates closely with internal teams, hospitals, and clinics to ensure efficient logistics and smooth operational flow.
**Key Responsibilities**:
**Technical Sales**
- Handle quotes for sales, quote for service and give timely/accurate diagnosis on instrumentations to the customer for repair/service work and completing contracts and recording orders.
- assessing customers' needs and recommending and explaining goods and services to them
- arranging delivery of goods, installation of equipment and the provision of services
- following up with clients to ensure satisfaction with goods and services purchased, and resolving any problems arising
- reporting to sales management on sales and service made and the marketability of goods and services
- preparing sales service reports and maintaining and submitting records
- compiling lists of client and prospective client
- acquiring and updating knowledge of employers' and competitors' goods and services, and market conditions
- monitoring customers' changing needs and reporting these developments to sales management
**Loan Set Management**:
- Coordinate the dispatch and receipt of loan sets, ensuring all endoscopic equipment is available and ready for use by the scheduled dates.
- Inspect, clean, and maintain equipment to ensure functionality, safety, and compliance with medical standards.
- Manage the inventory of loan sets, including tracking stock levels, identifying shortages, and coordinating restocking or repairs as needed.
**Scheduling & Logistics**:
- Communicate with hospitals, clinics, and medical facilities to arrange delivery and return of loan sets.
- Organize transportation logistics for equipment, ensuring timely and secure delivery.
- Monitor and track shipments, addressing any issues that may arise during transit.
**Customer Service**:
Handle any inquiries (internal / external) or issues related to technical instrument repair, loan sets, including troubleshooting equipment malfunctions.
**Documentation & Compliance**:
- Ensure all equipment is compliant with relevant medical device regulations and sterilization protocols.
- Maintain operations intranet site (sharepoint) and data administration
- Generate usage reports and track costs associated with loan set logistics, repairs, and replacements.
- Maintain accurate records of loan sets, including dates, destinations, conditions, and serial numbers.
**Collaboration**:
- Liaise with the technical service department for timely maintenance and repair of equipment.
- Work closely with territory manager to support product demonstrations and trials.
- Collaborate with warehouse teams to ensure efficient inventory management and distribution of loan sets.
**Experience**
- Proven relevant work experience of at least 5 years in a medical equipment or instruments sales and coordination, logistics, or similar role.
- Excellent administrative experience and database management.
- Familiarity with reusable endoscopic devices and other medical instruments.
- Proven and strong organizational skills with attention to detail.
- Excellent communication and customer service skills.
- Ability to handle multiple tasks and deadlines in a fast-paced environment.
- Proficient in using Propella inventory management software, Microsoft Office Suite and tracking device software.
- Knowledge of relevant medical equipment regulations and sterilization procedures.
**Working Conditions**:
- Primarily office-based with occasional visits to medical facilities or warehouses.
- May require handling and inspecting medical equipment.
