**Job Description**:
- Respond to customer queries promptly and professionally. Resolve queries in a timely manner.
- Schedule work in the Indivnet database which involves producing monthly equipment inspection due lists, running database queries to review any missed inspections, overdue inspections, transferring items and following up on lost customers.
- Compile and send customer reminder/authorization letters to customers.
- Liaise and follow up with marine and industrial inspection staff to schedule efficient inspection assignments.
- Process inspection reports and documentation as soon as possible after the inspection is completed to ensure the customer is billed and receives their certification promptly. Follow up on causes of processing delays.
- Prepare invoices in accordance with financial deadlines and provide management with weekly invoicing summaries. Follow up of unpaid debtors.
- Maintain travel, training and calibration registers and make relevant bookings to ensure they are current.
- Raise purchase order requests for the purchasing of office supplies, equipment and PPE.
- Liaise with local suppliers to ensure business and facilities service requirements are met and coordinate events as and when required.
- Compile regional timesheets and consolidate for payroll.
- Ensuring all activities are carried out with regard and recognition to Health and Safety requirements and personal safety.
- Identify and assist in developing and securing both new business and new business opportunities.
- Work with the Management team and other Industrial Regulatory offices to provide reports and respond to requests for assistance as required.
- Updating quality management system documentation as required.
- To cooperate with other administrators and share duties as required.
Fulfilling the responsibilities and authorities assigned to your position title as detailed in the Management Manual.
**Qualifications**:
Excellent interpersonal skills with the ability to work with people at all levels within the business, both local and international.
- Demonstrate initiative, pro-activeness and self-motivation.
- Effective relationship building and people management experience.
- A high degree of organization, time management and attention to detail is required.
- Proven experience in high-volume reception and/or administration roles.
- Demonstrated report writing and excellent verbal communication skills including fluent English.
- The ability to prioritize and meet deadlines.
- Ability to work with others in a team environment.
- High level of computer literacy in Microsoft Word, Excel and database use
- Must hold a full and current drivers license
