Executive Assistant

Performs liaison, coordination and organisational tasks in support of Managers and Professionals.
Duties & Responsibilities
- Work closely with the Director of the Organisation.
- Liaising and communicating with clients on behalf of the Director, taking notes, appointments, message that requires urgent attendance by the Director.
- Ensuring that all information and documents relating to the Company matters, attended by the Director or others is maintained and sorted with strict confidentiality.
- All urgent appointments have to be brought to the attention of the Director and notified accordingly.
- Telephone calls should be screened, if Director is away or in a meeting but requires attendance and contact other senior executive staff to action these matters, making travel arrangements, maintaining appointment dairies.
- Assist and Train any junior clerical or secretarial staff, if required to do so.
- Ensure that all Health and Safety operations manual of the company updates and brought to the attention of the Director.
- Maintaining health & safety, leave records, training documents and expenses related to fuel and office.
- Assisting Director to make decisions on crucial matters.
- Acting as an interface between the client and the teams.
- Managing payroll, orientation and generating bonus reports.
- Ensuring timely updates are sent to all employees forwarded by clients/directors.
- Planning and organising events, functions and meetings within defined staff budget.
- Co-ordinating and maintaining rosters/ timesheets with respect to NZ legislation
- Creating SOP and other policy documents to be used by all team members.
- Maintaining strong relationships with clients, directors and employees.
- Following up on any info required by the Clients/ Directors related to Sales process.
- Prioritising tasks for the director to act upon.
- Maintaining proper stock/ essential equipment, negotiating prices with suppliers for equipment and liaising for payments.
Tertiary Qualification in Business/ Management
Exceptional communication skills
Good Time management skills
Must have a relevant work experience
Pay: $30.00 - $32.00 per hour
Expected hours: 32 per week
