Job Description

Are you passionate about providing organisational support and coordinating key projects? Do you enjoy working in an environment where no day will be the same? Jack Link's is seeking an experienced Office EA Support to support the business. In this pivotal role, you will have the unique opportunity to work across multiple areas of the business to support the Reception, Finance and the Asia Pacific Executive Leadership Team.

What you will be involved in:

  • To answer all internal and external phone calls
  • To ensure all messages are passed on to the relevant person as soon as received
  • Welcome all visitors in a warm and friendly manner
  • Maintain the cleanliness of reception
  • Ensure office kitchen area is clean
  • Receive courier packages and distribute as necessary
  • Package and book couriers for pick-up
  • Maintaining supply of all forms
  • Check and order first aid supplies and stationery
  • Banking every four weeks and other monthly cafeteria reporting
  • Updating Cafeteria Daily Drink Stock Summary/ Consumables & Wastage Spreadsheet weekly
  • Run errands as required using company pool car
  • Coordinate/Book corporate travel
  • Support back log of administration work within the finance team
  • Accounts payable and bank statement filing
  • Manage daily inhouse cafeteria margin reporting, count daily cash received and update daily cash summary, balance EFTPOS amounts to bank statement and reconcile total to POS balance
  • Assist Payroll with processing POS payments for staff members who book up at the in-house cafeteria.

Who are we looking for:

  • Proven experience as an Office Manager.
  • Understanding of company administrative policies and procedures
  • Experience in managing an office environment
  • Proficiency in using multiple software applications and Microsoft suite with ability to learn new applications quickly and confidently
  • Amazing written and verbal communication skills to effectively interact with stakeholders at all levels.
  • Strong analytical and problem-solving abilities.
  • Detail-oriented approach with a focus on accuracy and compliance.
  • Ability to work collaboratively in a team environment.
  • High level of integrity and professionalism.
  • Organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Operates discretely with an unwavering ability to keep information confidential
  • Approachable.
  • Confident decision maker and problem solver.
