We are looking for an experienced Personal Assistant to the Chief Executive.

This is a key role for a highly organised individual looking to be part of the meaningful mahi we do at Family Planning.

This is a unique and interesting opportunity to support the Chief Executive and have involvement in a range of diverse projects.

The position is based at the upper end of the Wellington CBD in our National Office space. The role is full-time and offers flexible working options, including working from home up to two days each week.

There will be some occasions where you will need to be available outside of normal working hours to support meetings.


In the role of Personal Assistant, you will be providing administrative and secretarial support to the Chief Executive and members of the senior leadership team.

Primarily you will be responsible for supporting the day-to-day activities for the Chief Executive. This will include dairy management, preparing documents and board papers, organising meetings, taking minutes and organising international travel itineraries.


You will also be working with other administrative team members to support the efficient running of the National Office functions.

This will include working collaboratively with others to plan events such as council meetings and our AGM (annual general meeting).


We are looking for a Personal Assistant who has excellent attention to detail with proven ability to manage multiple competing priorities.

You will bring sound judgement with the ability to quickly adapt to changing situations.

We would love to consider you for the role if you have the following:

  • Demonstrated experience as a Personal Assistant at a senior management level or a strong background in administration
  • Excellent written and oral communication skills
  • Experience and high level of competence with a range of software packages, particularly the Microsoft suites
  • Proven organisational skills, time management and attention to detail
  • Very good listening skills and the ability to follow instructions
  • Ability to use initiative, prioritise and make sound decisions and judgements
  • Flexibility and adaptability to work with a diverse range of people and perspectives
  • Commitment to Family Planning's philosophy and goals
