POSITION

The Sports Administrator/Coordinator will be the central point of contact for the Sports Department, providing professional, efficient, and friendly administrative support to the Director of Sport and all sporting codes. This role ensures that administration across all codes is completed in a timely and accurate manner, supporting the smooth delivery of the College's sports programme.

KEY RELATIONSHIPS

Reports to: Director of Sport

Internal Relationships:

  • Code Directors.
  • Administration and Support Staff.
  • Teachers in Charge of Sports.
  • Coaches and Managers – Staff and Parents.

External Relationships:

  • Parents and caregivers.
  • College Sport.
  • Sports staff from other Auckland schools.

HOURS

37.5 hours per week. Term time only. Some flexibility may be required.

Commencing 19th January 2026.

REMUNERATION

Remuneration will be relevant to experience and based on the New Zealand Support Staff in Schools Collective Agreement.

JOB DESCRIPTION

Provide comprehensive administration support to the Director of Sport and the Sports Department, with responsibility for all sporting codes.

Key responsibilities include:

  • Meeting regularly with the Director of Sport to provide updates and support.
  • Supporting Code Directors of all major sports as required, ensuring administration tasks are completed promptly and accurately.
  • Coordinating and organising sports functions and events, including:

  • Sports Assemblies

  • Sporting Excellence Awards
  • Athletics Day
  • Sports Exchanges
  • Tournament Week preparations
  • Preparing and distributing information packs for school sports coaches, including contracts and compliance documentation.
  • Managing van bookings and scheduling to ensure efficient transport arrangements for teams and events.
  • Ensuring trophies are cleaned, maintained, and updated to reflect student and team achievements.
  • Supporting communication with staff, students, and parents to ensure clarity and timeliness.
  • Collating the newsletter for sport fortnightly.
  • Fleet and equipment management

SKILLS AND ATTRIBUTES

  • Strong administrative background with demonstrated experience in managing multiple tasks and deadlines.
  • Proficiency in databases, reporting, internet use, and MS Office suite (Word, Excel, Outlook).
  • High-level verbal and written communication skills.
  • Ability to quickly understand and apply new information.
  • Discretion, tact, and diplomacy when handling confidential matters.
  • Ability to communicate effectively across diverse cultures and personalities.
  • Excellent time management, prioritisation, and problem-solving skills.
  • Strong organisational skills with attention to detail.
  • Genuine love for sport and commitment to supporting student participation and achievement.

PHYSICAL ATTRIBUTES

  • Professional dress and personal presentation.
  • Ability to perform repetitive administrative tasks with accuracy and consistency.

EDUCATION AND TRAINING

  • Qualifications in Sport and Recreation, Sport Administration, or Office Administration (or equivalent experience/training).
  • Extensive knowledge and use of Office suite applications (Word, Excel, Outlook).
