Wānaka Helicopters is inviting applications for a new Academic and Training Support Coordinator position supporting our NZQA-approved Diploma in Aviation (Helicopter and Aeroplane) programmes. Position Description – Academic and Training Support CoordinatorPurpose of the Position
The Academic and Training Support Coordinator strengthens our capacity to deliver high-quality aviation training by supporting regulatory compliance, curriculum development, academic quality assurance, and learner support services. The role works closely with the Academic Coordinator, flight instructors, administrative staff, and external agencies to ensure our training remains safe, effective, and compliant with NZQA, TEC, StudyLink, Aspeq, and Civil Aviation requirements. This role directly contributes to the ongoing improvement of Wānaka Helicopters' teaching, assessment, and reporting practices, ensuring we continue to deliver industry-leading aviation education.
Key ResponsibilitiesAcademic Support
- Assist with marking, moderation preparation, and learner progress tracking
- Support learning resource development and updates within our LMS (Moodle)
- Maintain and expand documentation in Wikis and Handbooks
- Support client enquiries (via SuiteCRM) and enrolments
If qualified, provide occasional teaching cover in areas such as:
Risk Management
- Safety Management Systems
- Aeronautical Decision Making
- Crew Resource Management
- Dangerous Goods
Support accuracy and timeliness of regulatory reporting, including:
TEC systems (STEO, SDR, Ngā Kete DXP)
- StudyLink (Verification of Study)
- NZQA consistency and monitoring requirements
Internal quality assurance and self-assessment activities
Assist in maintaining compliance with the Civil Aviation Act 2023, Education and Training Act 2021, Health & Safety at Work Act, and Code of Pastoral Care.
- Liaise professionally with students, instructors, stakeholders, and external agencies such as Aspeq
- Assist with scheduling (Google Calendar) and coordination of ground and flight courses
Provide general IT support for staff, particularly within Apple OS and Google Workspaces for routine user management tasks (e.g. new users, password assistance, etc.)
Contribute to organising course delivery in a variable environment influenced by weather, equipment availability, and operational needs
- Support development of new programmes aligned with future Industry Skills Board requirements
- Participate in internal review processes to ensure delivery remains evidence-based, culturally responsive, and aligned with best practices
Professional Skills
- Strong written and verbal communication, appropriate for adult tertiary learners and regulatory stakeholders
- High attention to detail—especially in compliance, reporting, and assessment records
- Confidence using IT systems (Google Workspace, Moodle, databases, Apple OS)
- Ability to prioritise tasks, use initiative, and maintain productivity in a safety-conscious aviation environment
- Willingness to learn and apply aviation-related concepts (flight experience not required)
- Enthusiasm for aviation and education, with a growth mindset
- Inclusive and culturally responsive approach to working with diverse learners (domestic and international)
- Collaborative, transparent communicator with a reflective and evidence-based approach
- Innovator who enjoys improving systems, business and education resources, and processes
- Experience in education administration, tertiary compliance, or training delivery
- Teaching or aviation qualifications (either or both advantageous,)
- Experience with Moodle, learning design, or student management systems
- Ability to hold (or willingness to undergo) a fit and proper person assessment if required
- Demonstrated history of learning across diverse disciplines
- Strong organisational and time-management skills
