Looking for the next step in your Executive Assistant career?
We are looking for a dynamic and proactive individual to support two of our Group Managers as an Executive Assistant.
The New Zealand Customs Service | Te Mana Ārai o Aotearoa protects and promotes New Zealand through world class border management. Customs' main priorities are protecting New Zealand's borders and revenue while helping the legitimate movement of people, goods, and craft across the border.
About this role | Mō tēnei tūranga mahi
This is a great opportunity for an individual with an interest in working in a challenging and diverse environment. Supporting our GMs, you will play a critical role in ensuring the smooth operation of our Strategic Systems and Service Optimisation and Trade, Revenue and Compliance groups. From managing complex calendars and coordinating travel arrangements to preparing important documents and liaising with key stakeholders, no two days will be the same in this fast-paced and challenging role. You will even have the opportunity to take responsibility for a small range of internal projects.
About you | Ko wai koe…
To be successful in this role you will need to be able to demonstrate your ability to multitask, develop trusted relationships internally and externally; and be the 'go to' person for your groups. You will also be part of a small Executive Assistant (EA) team and will help out and provide coverage for other EAs when required. It goes without saying that you must have great attention to detail and a forward-thinking approach to planning, ensuring that you think of what is needed before others do.
We're looking for someone who is:
- a go-getter with flexibility in the way you go about your work
- proactive and uses their initiative
- able to work collaboratively with both Group Managers and within a team environment both within the Strategic Systems and Service Optimisation (SSSO) and Trade, Revenue and Compliance Groups, and across other workgroups
- experienced in providing high level administrative support to senior managers including diary, travel management and function organisation
- able to smoothly manage competing demands
- act with a high degree of integrity, with proven ability to provide confidential and discreet administrative support
- calm under pressures and able to produce high quality work
- adept at both written and verbal communication
- aware of and understands financial systems and budgets
- highly proficient with Microsoft Office applications
- willing to actively participate and co-ordinate team activities
- able to achieve and maintain a 'Secret' security clearance (please refer to requirements under Working for Customs)
If you thrive in a busy and often pressured environment, love taking on new challenges, and have a passion for supporting senior leadership, this could be the role for you If you can meet most of these, or think you can, we'd like to hear from you
Working for Customs | Mahi ki te Mana Ārai o Aotearoa
To work for the New Zealand Customs Service | Te Mana Ārai o Aotearoa, you must be able to meet the following requirements:
- Be a New Zealand Citizen or New Zealand Permanent Resident
- Residing in New Zealand at the time of application
- Have resided continuously in New Zealand for the last 10 years*
Successful applicants are also required to pass a drug test and have a clear Police record.
(*) If you are a New Zealand Citizen or New Zealand Permanent Resident who has resided in New Zealand for the last 10 years but have been absent from New Zealand for periods of 6-9 months within the past 10 years, preferably in one or more of the following countries: either Australia, Canada, UK or the USA then you may still meet the requirements for a 'secret' clearance. You will be required to provide overseas Police certificates for these periods spent outside of New Zealand.
What we offer | He aha mātou e tuku
We aim to create a great place to work, where our people have a sense of belonging and the capability and desire to meet our future challenges. We are an organisation that is clear about our mission and this is underpinned by Te Pou Tokomanawa (the Foundations) and our Whanonga Pono (Values). Our work really matters to the safety and success of New Zealand. We care about well-being, personal growth, and job satisfaction, which is supported through:
- A dynamic work environment where no two days will be the same
- We invest in your professional growth through training and development programmes
- 20 days annual leave plus 3 days additional paid leave between Christmas and New Year
- Discounted Health insurance through Southern Cross
- Free annual flu vaccinations
- Flexible working arrangements
How to apply | Me pehea te whakauru
Please apply online. You will need to submit a CV and we'd also like you to complete a video interview as part of your application. Please set aside some time to do this.
