CRE8 Talent Solutions has partnered with Form Building and Developments in the search for an Executive Assistant to join the Auckland based team.
This is a position for someone who is organised, steady under pressure, and confident navigating a mix of executive support, office coordination, and brand management responsibilities. You will be genuinely aligned with the way the business operates — someone who understands the pace, the expectations, and the importance of keeping the right people moving in the right direction.
This is not a passive admin role. Form Building and Developments need an EA who is switched-on, organised, and confident working at the centre of a fast-moving construction environment. You'll be the person who keeps the GM prepared, the senior leadership team connected, and the Auckland office running smoothly.
About the Role
You'll provide direct support to the GM, Directors, and wider leadership team, owning the flow of information, planning, and preparation across the business. This includes:
- Managing calendars, priorities, meetings, and travel
- Board, Advisory and SLT meeting packs, minutes, and action tracking
- Producing confidential reports, presentations, and correspondence
- Coordinating office operations for the Auckland team
- Supporting onboarding/offboarding, IT, vehicles, and sponsorship requests
- Assisting with tenders, formatting and ensuring all documents reflect Form Building and Developments style guide
- Managing website updates, social media content, and overall brand consistency
- Maintaining Form Building and Developments photo library, media content and marketing collateral
What You'll Bring
- Minimum five years' experience in administration or executive support
- Strong communication, planning, and organisational skills
- Proven ability to manage sensitive information
- A proactive approach and confidence working with senior leaders
- High attention to detail and pride in the quality of your work
- Competence across the Microsoft suite and general digital systems
- Understanding of construction or related industries is beneficial
