ABOUT THE ROLE
We are seeking an Executive Assistant who is responsible for providing support to 2-3 Executive leaders to ensure the smooth and effective running of their schedules and administrative tasks, as well as responsibility for high level administration, customer and social activities across the Auckland site.
Essential duties:
- Extensive diary management; determine importance of meeting requests in the context of their priorities and schedule accordingly, and balance conflicts with efficiency and clarity.
- Arrange and book domestic and international travel to support the Executive leaders needs to meet with customers, suppliers and conduct site visits.
- Managing travel administration; process set up of traveler profiles, monitor and report any unused travel credits and ensure all employee travel bookings adhere to company policy.
- Managing expenses; process expenditure accurately and efficiently, collating receipts and invoices, conducting corporate card reconciliations and submitting reports.
- Ensure efficient processing of staff corporate card application and maintenance requests.
- Be a confident face for the Executive Leaders when managing internal email communications, phone calls, and the point of contact for interactions with customers, suppliers and employees.
- Handle the coordination and planning of meetings, conferences, events as well as staff engagement initiatives.
- Support the Auckland site social committee including scheduling and running of Custom Fleet events and responsibility for the social club budget.
- Preparation of customer presentations, co-ordination and running of Customer site meetings and visits, as well as Custom Fleet all staff meetings across AU and NZ.
- Support office administration requirements to ensure that the Auckland office is operating efficiently.
- Work as an effective member of the EA team by sharing best practice and ensuring effective coordination of executive team responsibilities.
- Be an active and positive contributor to the company through culture and engagement initiatives.
Other duties:
- Supporting marketing initiatives, as and when appropriate.
- A good level of business acumen and commercial thinking.
Education & Experience
Essential:
- Minimum 3 years' experience in an Executive Assistant capacity, supporting multiple executives in a corporate environment.
- High capacity for managing multiple priorities and stakeholders.
- Experience working autonomously with little direction in a highly demanding and fast-paced environment.

Other:
- Experience in contributing to a positive organisational culture.
- Experience working in a distributed global environment and across multiple time zones.
