The Opportunity
We're seeking a Service and Spares Coordinator to be the vital link between our customers and operations. You'll be a key first point of contact for service, spares, and job enquiries while managing all aspects of logistics and shipping. This role offers genuine variety – no two days are the same – covering everything from spare parts orders to coordinating the shipment of complete filling machines worldwide.
What You'll Do
Operations
- Prepare and fulfil customer spare parts orders from factory stock
- Maintain accurate inventory records and stock levels in our systems
- Resolve customer inquiries within agreed timeframes
- Compile monthly reports and provide timely business reporting
Logistics & Shipping
- Coordinate all domestic and international shipping – from small components to 3-metre machine crates
- Manage freight forwarding arrangements and carrier relationships
- Prepare shipping documentation, including commercial invoices, packing lists, and bills of lading
- Ensure compliance with customs requirements and export documentation
- Track shipments and proactively communicate status to customers
- Manage freight costs and identify cost optimisation opportunities
Service & Spares Management
- Track service and spares job progress through the factory
- Keep systems updated with the latest job progress and material consumption
- Communicate job status to the management team and customers
- Administer workflow from job creation through to accurate costing and invoicing
- Support the quote-to-order process, ensuring completeness and accuracy
What We're Looking For
Essential:
- Experience in a manufacturing or operational environment
- Understanding of supply chain management, production, and stock management
- Planning, scheduling, and inventory management experience
- Experience coordinating freight and logistics
- Excellent written and verbal communication skills
- Strong IT skills, particularly MS Office
- Demonstrated ability to multitask in a fast-paced environment
- High attention to detail and strong organisational abilities
- Clean, current NZ full driver's licence
- Valid passport
- NZ Citizenship or relevant work visa
