About the role
This full-time Office Coordinator role is an excellent opportunity to join the vibrant and collaborative team at Rangitāne o Wairau. As the Office Coordinator, you will play a crucial part in supporting the smooth and efficient running of the office, with a focus on providing exceptional administrative assistance to the entire team.
What you'll be doing
From booking travel and processing membership applications, to setting up hui, ordering catering, restocking supplies, and keeping things running smoothly - this role is all about the everyday tasks that keep our office ticking. No two days will be quite the same, and you'll be the go-to person for making sure the small but necessary and important details are taken care of.
- Administration and reception coordination - managing the vehicle fleet, preparing reports, troubleshooting IT issues and managing all general correspondence
- Kaimahi support - meeting setup and coordination, delivery and organising of events
- Member and Kaikōkiri support - managing the member application process and grant rounds, managing the member database and general reporting
- Venue Management - supporting Ūkaipō Cultural Centre and Tuamātene marae
- Financial coordination - managing petty cash and coding expenses
- Communication and liaison
- Research and information coordination
What we're looking for
- At least 2 years of experience in an administrative or office coordinator role
- Basic cultural competency and understanding of kaupapa Māori, comfortability with te reo me ōna tikanga
- Strong organisational and time management skills, with the ability to prioritise effectively, and simultaneously manage diverse tasks
- Excellent communication and interpersonal skills, with a friendly and professional manner, is calm under pressure
- Proficiency in using Microsoft Office applications, such as Word, Excel, and Outlook
- A keen eye for detail and the ability to work accurately and efficiently
