We are a friendly, family-owned accounting firm with a supportive and tight-knit team culture. Our practice is unique, specialising in providing services to a majority trans-Tasman client base. While many of our team members work remotely, this pivotal role is 100% office-based in our CBD location, acting as a central hub for our client operations. We are looking for an experienced professional to join us, someone who is not afraid to suggest improvements and help us grow.

The Role

As our Client Onboarding Manager, you will be the first and most important point of contact for our new clients. You will take complete ownership of the onboarding process, ensuring every client has a seamless and positive transition into our firm. This role is perfect for someone who thrives on organisation, accuracy, and clear communication, and enjoys being at the heart of a busy, professional accounting practice.

What You'll Be Doing

  • Managing the end-to-end onboarding and offboarding processes for all accounting clients.
  • Coordinating the collection of all necessary client information, authorisations, and documentation to ensure a smooth setup.
  • Maintaining meticulously accurate client data across our key systems.
  • Preparing, issuing, and managing client proposals and engagement letters.
  • Generating and reviewing Work in Progress (WIP) and onboarding reports, tracking key deadlines, and maintaining tax return filing statistics.
  • Managing the client services inbox, ensuring all client and prospect enquiries are addressed promptly and professionally.
  • Overseeing IRD portal maintenance and supporting the administration of our Accountancy Audit Insurance platform.
  • Working closely with our accounting team to ensure a seamless handover and an exceptional, continuous client experience.

What We're Looking For

We are looking for a candidate who brings both experience and a forward-thinking attitude. You should have:

  • Proven experience in client onboarding, administration, or practice management, within a NZ accounting  firm.
  • High proficiency and confidence using key industry software, specifically Xero Practice Manager (XPM), FYI Docs, Practice Ignition, and myIR.
  • A solid understanding of accounting practice workflows, compliance requirements, and client data management principles.
  • Exceptional attention to detail and organisational skills, with the ability to manage multiple priorities concurrently.
  • A proactive mindset with a genuine desire to identify and implement process improvements to enhance efficiency.
  • Excellent communication and interpersonal skills, capable of building strong rapport with both clients and internal teams.
  • A collaborative, team-oriented spirit and the tech-savviness to thrive in a digitally-focused environment.
