Office Administrator and Receptionist

Aviva is looking for a confident, energetic, professional, and compassionate Receptionist and Office Administrator to support smooth daily operations across Aviva's Christchurch hub and satellite offices. This is a Monday-Friday position, 40 hours per week based in our offices at Amuri Park.
In this role, you'll be the first point of contact for visitors and whai ora, helping them feel welcomed, safe and respected. You'll also work closely with our Office Manager to maintain a well-organised, clean, and professional workplace, manage essential admin tasks, and contribute to the daily life of a vibrant team.
About the Job:
Daily tasks include:
- Being the friendly and professional face of Aviva at our front desk – greet visitors, answer phones, and manage enquiries
- Maintain a welcoming and safe reception area (manaakitanga in action)
- Coordinate meeting rooms and support shared office spaces
- Manage office supplies, couriers, mail, and inboxes
- Provide administrative support to the Office Manager and other kaimahi
- Monitor and assist with office systems, tech, bookings, and fleet vehicles
- Support Health & Safety practices and emergency readiness (Fire Warden, First Aider)
- Contribute to compliance reporting, audits, and document management
- Help maintain strong internal and external working relationships with agencies and stakeholders
About You
You're approachable, organised and tech-savvy, with a passion for supporting people and creating great first impressions. Whether you're greeting whai ora at the door or ensuring a meeting room is ready, you take pride in the small things that help others thrive.
We are looking for:
- 2–3 years' experience in admin, front desk, or customer service
- Relevant qualification in Business Admin (or similar) is a bonus
- Strong Microsoft Office and database skills (Teams, Outlook, Word, etc.)
- Confidence handling phone systems, reception, and coordinating bookings
- Willingness to be trained in First Aid, Fire Warden, Health & Safety
- Excellent interpersonal and written communication skills
- An understanding of (or willingness to learn about) Te Tiriti o Waitangi and tikanga Māori
- Full NZ driver's licence
