We have an exciting opportunity for an experienced Office Manager / Executive Assistant to join Dairyworks, a proudly innovative and fast-growing company within New Zealand's FMCG dairy industry.

Following an internal promotion, we are seeking a highly organised, proactive, and professional individual to take on this varied and rewarding role — ensuring the smooth running of our office while providing high-level support to five members of our Senior Leadership team.


About the Role:

This is a fast-paced, high-impact role where you'll be the go-to person behind a smooth-running office and a trusted support to our senior leaders. You'll be right in the middle of the action — coordinating meetings, managing priorities, solving problems, and keeping everything running seamlessly. If you're highly organised, thrive on variety, and love making things happen behind the scenes, this role is for you.

Key responsibilities include:

  • Providing high-level administrative support to five senior leaders, including diary and inbox management, meeting coordination, and travel arrangements.
  • Preparing agendas, meeting packs, presentations, and take accurate minutes or action notes as required.
  • Monitoring and prioritising incoming communications on behalf of the leadership team.
  • Managing the daily rhythm of the office — from coffee machines to couriers, you'll make sure everything works like a well-oiled machine
  • Coordinate travel bookings and accommodation arrangements for staff, in line with company policy.
  • Liaising with vendors, customers, and suppliers to coordinate meetings, events, and enquiries.
  • Maintain office systems, update records, and support wider teams with general admin tasks

What We're Looking For:

  • Proven experience in administration, executive support, or office coordination
  • Excellent communication and relationship management skills
  • Strong organisational and time management abilities
  • A proactive, solutions-focused mindset and exceptional attention to detail
  • High proficiency in Microsoft Office and other business tools
  • Discretion and professionalism when handling confidential information
  • The ability to manage multiple priorities and stakeholders effectively
