**About the role**
The Governance Support Officer is responsible for providing secretariat services for Board meetings, sub-committee meetings and other committees and also provide some general administrative support to the organisation in line with capacity and requirements.
If you are passionate about making a difference, have great organisational skills, good judgement and commercial acumen, and are experienced in building relationships and influencing at a senior level, then we may have a role to suit.
Comfortable working at Executive and/or Board level, you will be effective in managing the tasks associated with Board matters and functioning. You will have a reputation for being extremely organised with an eye for detail but will be one of those special people who also has a big picture perspective.
As this role is a part time position of 20 hours per week, it may suit some who requires flexibility or who has other commitments. There will be some flexibility required on occasion, although the bulk of time requirements will be known in advance and can be planned for. This is a stand-out opportunity to contribute for someone who is proactive and responsive, and with a strong customer ethic and follow through.

**Key Accountabilities**
- Draft and manage agenda for meetings, including the gathering, collation and distribution of papers
- Draft correspondence on behalf of the Board as requested
- Attend Board, Council and committee meetings and take minutes, and follow up on action points
- Maintain decision registers and oversee action completion records
- Create and maintain correspondence register
- Liaise with the Chairs and manager regarding Board, Council and committee matters
- Manage the Board members’ administrative needs, including meeting and travel arrangements
- Book venues for meetings, set up venues and arrange catering if required for meetings
- Establish and maintain effective relationships in order to facilitate the effective gathering of information for Board, Council and other committee meetings
**Administration**
- Undertake general administrative support with the EA to CEO as required
- Provide support and cover for other administrators within the organisation when so required
- Assist with projects by providing effective administrative support
- Understands Te Tiriti o Waitangi and supports capability building across the organisation
- Work with partners to co-design functions and activities and influence, engage and embed initiatives across the system
- Ensuring that the organisations work is informed and agreed by our partners and we meet their reporting requirements
- Demonstrate how your work supports Māori Crown relationships
