The opportunity | Te Whiwhinga mahi The purpose of this role is to provide executive-level support to the governance structure for the Programme, including the Programme Director, Executive Lead Advisor, and the broader programme team. In addition, you will ensure the effective functioning of the Programme's governance groups by building effective relationships with a diverse group of partner stakeholders and ensure governance groups are supported with necessary frameworks (documentation, processes, etc.). Your focus on continuous improvement will support the management of governance cycles and ensure proactive, quality documentation and consistent records across the programme. You will additionally identify improvements for the Programme Governance function and drive the implementation of agreed changes. A key aspect of your role will be to perform the secretariat function for Partnership Board, Governance Reference Group, Iwi Partnerships Working Group and other governance meetings, including meeting management, facilitation of agenda setting, preparation and distribution of meeting packs and out-of-cycle requests, recording and distributing minutes, actions and decisions, and ownership of the forward calendar of items and assurance activities. About you | Ko koe tēnei To be successful you will have strong demonstrable knowledge of, and experience in, the following:
- Tertiary qualification in a relevant business field
- Previous experience providing support to executive-level governance boards, where planning and coordination in a complex environment was a vital component of the work
- Proven ability to develop and maintain highly effective and professional working relationships at all levels of an organisation, particularly with board directors, senior executives, and senior management as well as support staff
- Excellent organisational skills
- Ability to meet deadlines
- Political awareness, sound judgement, discretion, and sensitivity - particularly in handling confidential information
- Proven ability to work under pressure
- Excellent oral and written communication skills, particularly the ability to comprehend and reframe information for minutes
- Ability to influence and manage others to ensure timeliness and quality of all submissions
- Self-starter able to identify gaps in processes and drive solutions for improving operations
