Our client, BOP Plumbing and Gas are one of the Bay of Plenty’s well-recognised, family-owned and operated businesses who pride themselves on building trust and lasting relationships with their customers. BOP Plumbing and Gas service Rotorua, Kawerau and Te Puke, and the wider Bay of Plenty with their qualified, mobile team. They are seeking a Senior Operations Coordinator to join their busy team at the Te Puke Branch, a key role within the Company.

Based in Te Puke, the Senior Operations Coordinator is an integral role to ensure all jobs are scheduled and managed in the most efficient way possible. With a start time of 7:00 am to ensure that the trades team get out to their jobs in a on time to support our customers, we are looking for an experienced coordinator who is used to organising workflow and appointments and doesn’t mind early starts and managing multiple tasks at once.

**Key responsibilities include**:

- Schedule and confirm appointments, inputting customer data into Fergus job management system as per scheduling guidelines
- Organise workflow and appointments of trade staff and apprentices in the most time efficient way to ensure best use of teams time
- Ensure the operations support team are directed and working productively daily
- Monitor the progress of the field team throughout the day, adjusting job timing accordingly
- Manage the different stage of job to ensure flow through to completion occurs
- Manage incoming calls/walk in customer enquiries
- Ensure deposit invoices are promptly sent on accepted quotes
- Schedule jobs and order materials from correct suppliers after deposit invoice has been paid
- Check completed jobs have all supplier invoices and costs attached and are accurate, before being marked as ready to invoice
- Communicate with customers in a professional, friendly manner, meeting all service deliverables
- Check all timesheets daily for accuracy, and ready for payroll processing weekly
- Prepare and complete weekly banking
- General office administration duties, including ordering office and stationary supplies, processing incoming mail and assist with back-up invoicing
- Be a champion of health and safety, complete weekly site checks, monitor sign in of visitors and deliver basic site inductions as required
- Fleet management
- Carry out any requested support tasks by the Operations Manager, Director/Owners

Being reliable, trustworthy, on time and demonstrating excellent computer and people skills are essentials to be successful in this role. A willingness to learn about basic plumbing concepts and a good understanding of health and safety legislation is key. Experience using job management software is beneficial but not necessary.
