Are you highly organized, detail-oriented, and passionate about supporting our orchard operations? We're looking for an Orchard Administration Coordinator to join our team and play a key role in ensuring smooth and efficient orchard management.

As the Orchard Administration Coordinator, you will be providing essential administrative and reporting support. This role involves managing data, coordinating schedules, and ensuring compliance across all orchard activities.

Full time role guaranteed 30 hours per week minimum.

Key Responsibilities:

Orchard Reporting

  • Collect and maintain daily records of orchard activities (pruning, thinning, girdling, block operations).
  • Prepare weekly and seasonal reports to support planning and decision-making.
  • Track progress against orchard management plans and identify variances or risks.

Seasonal Crop Counting & Reporting

  • Coordinate and carry out crop counting activities across monitor blocks.
  • Record accurate budburst, flower, and fruitlet data for forecasting.
  • Prepare crop count reports to assist with labour allocation and yield forecasting.
  • Communicate findings to management for operational decisions.

Scheduling Jobs

  • Coordinate and schedule daily and weekly work plans for field teams.
  • Adjust schedules based on weather, staffing, and priorities.
  • Communicate job allocations clearly and promptly.

Staff Timesheets & Attendance

  • Collect, verify, and record staff timesheets accurately.
  • Monitor attendance and labour allocation for efficiency and compliance.

Quality Control & Reporting

  • Assist with quality monitoring during key orchard activities.
  • Record quality checks and report non-compliance issues.

Staff Onboarding & Inductions

  • Assist with safety briefings and policy training for seasonal staff.

Document & Record Management

  • Maintain organized and secure digital and physical records, including compliance documentation and SOPs.
  • Ensure timely updates and secure storage of all orchard-related documentation.

Key Skills

  • Previous experience in horticulture and administration skills.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy in data recording.
  • Ability to communicate clearly and work collaboratively with management and seasonal workers
  • Proficiency in Microsoft Office
  • Multiple language skills – ability to communicate with a diverse workforce is highly valued
  • Valid NZ driver's license and own transport.
