We are looking for a dedicated Administration Coordinator to join our team on a six-month fixed term contract. This role is crucial to the day-to-day functioning of our operations, acting as the first point of contact for clients, visitors, and team members, while also providing vital administrative support to the warehouse and logistics teams.

**Key Responsibilities**:
**Front Desk & Visitor Management**
- Welcome and assist all visitors, clients, and employees with a friendly and professional demeanour
- Manage the front desk area, ensuring it is always neat, organised, and presentable
- Handle all incoming and outgoing mail, packages, and courier services

**Administrative & Office Support**
- Maintain and organise both physical and digital filing systems
- Schedule meetings, appointments, and coordinate calendars
- Assist in preparing documents related to warehouse operations, such as inventory logs, shipping records, and compliance documentation
- Manage office supplies and equipment, ensuring all items are well-stocked and the office environment is functional
- Prepare meeting agendas, take minutes, and follow up on action items
- Set up conference rooms and ensure all materials are prepared and available for meetings
- Accurately enter data related to inventory management and generate and compile reports on warehouse activities
- Draft and distribute internal communications as directed by management

**Compliance & Safety**
- Ensure that safety protocols and compliance measures are adhered to within the reception and office areas
- Support the team in maintaining compliance with logistics regulations, operational standards, and company policies

**Skills & Qualifications**:

- **Strong organisational and multitasking skills**: You must be able to manage several tasks at once and prioritise effectively in a fast-paced environment
- **Excellent communication skills**: Both written and verbal communication will be essential, as you will interact with a range of internal and external stakeholders
- **Attention to detail**: Whether you're handling documents, data entry, or inventory records, accuracy is key
- **Tech-savvy**: Proficiency in Microsoft Office (Word, Excel, Outlook) and database management systems is essential including SAP
- **Problem-solving mindset**: You’ll have high initiative and find practical solutions to administrative challenges
- **A team player**: Able to work collaboratively with different departments and contribute to the smooth running of the business
