Our client, BOP Plumbing and Gas are one of Rotorua’s well-recognised, family-owned and operated businesses who pride themselves on building trust and lasting relationships with their customers. BOP Plumbing and Gas service not only Rotorua, but the wider Bay of Plenty with their qualified, mobile team. They are seeking an Operations Coordinator to join their busy team, a key role within the Company.

Based in Rotorua, the Operations Coordinator is an integral role to ensure all jobs are scheduled and managed in the most efficient way possible. With a start time of 7:15 am to ensure that all trade staff get out to their jobs in a timely fashion, we are looking for an experienced coordinator who is used to organising workflow and appointments and doesn’t mind early starts.

Key responsibilities include:

- Carry out any requested support tasks by the Operations Manager, Director/Owners
- Schedule and confirm appointments, inputting customer data into Fergus job management system as per scheduling guidelines
- Organise workflow and appointments of trade staff and apprentices in the most time efficient way
- Coordinate any job requests daily with Managing Director which require his inclusion
- Responsible for Pending, Scheduling, In Progress and Back Costing columns in Fergus job management system
- Fergus calendar is updated to reflect real time, three times daily
- Schedule and confirm appointments, and input customer data into Fergus job management system
- Provide back up support for incoming calls/walk in customer enquiries
- Check all timesheets daily for accuracy
- Payroll spreadsheet created and sent to payroll weekly
- Ensure the operations support team are directed and working productively daily.
- Being reliable, trustworthy, on time and demonstrating excellent computer and people skills are essentials to be successful in this role. Experience using job management software is beneficial but not necessary.
