**The Role**:
Our team is growing and we’re looking for an Office Manager to help us optimise our own environment, including managing our (lovely new) office, establishing and managing operational processes that ensure the smooth running of company operations, and thereby assisting leaders and our team to maximise their impact, productivity and wellbeing. This is a new role that works closely with key leaders and offers an opportunity to contribute, learn, grow and make this role your own.

**Core Responsibilities**:

- Office management and administration:

- Smoothly manage all aspects of office operations within budget.
- Accountability for responding to and resolving any issues and questions about our offices from our team or visitors
- Vendors/suppliers management, including cleaning, catering, security services, repairs.
- Order and maintain office equipment and supplies, including employee equipment
- Manage team logístical requirements (e.g. travel arrangements, event management for internal staff)
- Schedule meetings where there are multiple parties to coordinate.
- Various office admin as required (e.g. office groceries, repairs & maintenance)
- People Operations support
- Onboard new team members (including support with tech set up) and off-board departing team members from systems, tools and processes
- Support Chief People Officer and hiring managers with recruitment activities
- Manage employee agreements
- Plan in-house or off-site activities and events, such as board and company meetings, team celebrations and conferences
- Support social and cultural activities and initiatives
- Oversee the operation of the Company's Health and Safety processes and reporting under the Health & Safety at Work Act 2015
- General Operations Support
- Review, implement and communicate processes, procedures and operating systems, and undertake changes to meet company’s demands and growth
- Optimise processes and consider tools and tech that support us
- Support the Senior Leadership TeaM/Founder / Board

Note that at Mentemia we have adopted a hybrid flexible working approach, which means that our people work from the office some of the time and remotely some of the time. In this role, because of the need to manage the physical office and work across multiple teams, it is expected that you will work the majority of the time from our office in Parnell.

**Required Skills, Experience and Competencies**:

- Experienced in office management, ideally supporting people across multiple offices and locations
- People administration experience
- A team player: collaborative, friendly and approachable
- Creative, proactive, adaptable and able to quickly and effectively solve problems
- Accountable, highly organised and able to effectively prioritise and plan
- Strong communicator, able to quickly build and maintain trusting, effective relationships
- Tech savvy - proactively looks for opportunities to streamline processes through technology. Also able to support team members with technical questions about the tools and systems we use
- Useful to have strong negotiation skills
- Courage and confidence to take a stand, coupled with humility and openness to other viewpoints
- Passionate, driven and self-motivated
- Self aware and committed to ongoing learning and growth
