Data Operations Specialist

We are seeking a Data Operations Specialist to be an integral part of the Kotahi Data Operations Team, to ensure accurate, timely and complete data is provided for our critical processes.
This is a full time, fixed term role to end of November 2026.
In this role, you’ll be responsible for ensuring the smooth and accurate flow of data across Kotahi’s systems. Your key responsibilities will include:
- **Ensuring Data Excellence**- maintaining timely, accurate, and high-quality data to enable seamless business operations.
- **Managing Data Quality**- validating and processing requests to ensure data integrity within Kotahi’s systems.
- **Publishing and Distribution**- loading and distributing data across downstream systems and making it available to other teams.
- **Tracking Performance**- monitoring system performance, meeting agreed SLAs, and providing visibility of measures to drive improvements.
- **Managing Variable Charges**- coordinating periodic charge adjustments with internal and external stakeholders (e.g., quarterly BAF updates).
- **Identifying Improvements**- spotting opportunities to enhance systems and processes to deliver greater efficiency and accuracy.
- **Supporting Business Initiatives**- providing data analysis and insights that enable digital and process improvement projects to succeed.
You’ll have proven experience working with data and be confident using Microsoft Excel, including formulas, PivotTables, and lookups. Experience with data analysis and/or CargoWise will be an advantage.
You’ll bring strong attention to detail and the ability to maintain accuracy and focus when working on routine tasks. Alongside this, you’ll demonstrate sound problem-solving and analytical skills, with the flexibility to organise and reprioritise your work as needed. Collaboration and clear communication will be second nature to you, helping ensure the importance and integrity of accurate data is understood and safeguarded across Kotahi.
You must have the legal right to work in New Zealand to be considered for this role.
