The Administrative Assistant Financial Services position at Haverhill Public Schools provides an opportunity for a highly organized and detail-focused individual to support the business office team. This role involves providing administrative support, maintaining accurate records, and ensuring the efficient operation of our financial services.

Main Responsibilities:
  • Assist in the bi-weekly payroll process by supporting the Payroll Specialist.
  • Maintain employee records, including data entry of hours worked and updates to direct deposits, retirement contributions, and tax withholding elections.
  • Distribute paystubs, paychecks, and vendor checks to employees and vendors.
  • Facilitate and reconcile Massachusetts Teachers Retirement System monthly reporting.
  • Process MTRS applications for retirements, refunds, substitute buy-backs, and other related tasks.
  • Collaborate with City Retirement to ensure accurate and timely new hire enrollments.
  • Verify employment information for external purposes, such as mortgage refinancing and bank loans.
  • Maintain confidentiality and security of all financial files and documents.
Required Skills and Qualifications:
  • Bachelor's degree in finance or a related field preferred.
  • Minimum three years of accounting experience in a public or municipal setting preferred.
  • Proven ability to work independently and collaboratively within a fast-paced environment.
  • Strong analytical and problem-solving skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Excel and InfiniteVisions software.
  • Excellent organizational, time management, and prioritization skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
