The Role

We're seeking a highly organized, proactive, and customer-focused individual to join our executive support team as an Administrative Expert for Executives. In this role, you will provide high-level administrative support to our Chief Operating Officer and GM Fraud & Scams, optimizing their time and priorities through effective calendar management and inbox management.

You will also be responsible for managing relationships with stakeholders and liaising to assess meeting appropriateness, ensuring effective communication and coordination. Additionally, you will facilitate the creation, editing, and distribution of important documents, including board papers, strategic plans, performance assessments, meeting agendas and minutes, and internal communications.

Responsibilities

  • Provide comprehensive administrative support, including processing business visa transactions, booking travel and meeting rooms, liaising with external parties, organizing workshops, and following up on actions.
  • Facilitate the creation, editing, and distribution of important documents, including board papers, strategic plans, performance assessments, meeting agendas and minutes, and internal communications.
  • Manage relationships with stakeholders and liaise to assess meeting appropriateness, ensuring effective communication and coordination.
  • Proactively identify and recommend improvements for operational processes and work to resolve issues that may impede delivery of priority tasks.

Qualifications

  • 10+ years of experience in a PA role, with at least 3 years at an executive level.
  • Exceptional organizational, administrative, and time management skills, with the ability to juggle multiple priorities and tasks effectively.
  • Proven ability to handle sensitive information with the utmost discretion and confidentiality.
  • Strong proficiency in standard MS Office applications and the ability to quickly adapt to new software and tools.
  • Resilient under pressure, with the ability to manage urgency and work effectively in a fast-paced environment.
  • Strong interpersonal and communication skills, with the ability to build relationships at all levels of the organization.
  • Experience in preparing presentations and reports for teams and Boards.
