Transport has the potential to shape our city for the better - from the streets we live, work and spend time on, to the trains, bus services, cycle and walkways we use every day.Te Whiwhinga mahi - The Opportunity - Programme CoordinatorThe Programme Coordinator is responsible for coordinating, managing and supporting the day-to-day tasks that ensure the programme is well-organized and running smoothly.This includes managing the administrative tasks, such as document and information distribution, report collation and communications support ensuring that appropriate critical information is shared among the various team members and stakeholders.It involves working closely with the programme team and interacting with internal and external stakeholders at different levels of seniority across the programme.This role requires flexibility to work across different programmes depending on business priorities.Key Tasks include:Establish and use existing tools and templates to provide clear documentation of the programme and its projects.Update the programme/project plans and schedules, as required by the programme controller/director.Working collaboratively with the programme director and team.Organising and administrating key governance forums and groups, including issuing agendas, reports, meeting set up and room bookings.
Coordinating and preparing materials for board and committee meetings, as well as minutes and actions.Act as the key point of contact for sharing information across programme team members, partners and other stakeholders.Work with relevant finance partners to set-up and process PO's where required for payment of programme invoices.Support programme controllers/director to update and capture programme risks, issues and areas of concern at the relevant governance forums.Kokoetenei | About you5+ years' experience level (PMO, Programme Coordination)Experience and positive track record in usage of best practice Portfolio, Programme and Project Management frameworks in a large organisational context (preferable)Experience in use of Microsoft Project and MS Office suite (essential)Experience working with Edison365 and SAP modules (i.e.
