We are providing reliable drinking water solutions available to every marae throughout New Zealand.
You will play a key part in logistical coordination, documentation management, and ensuring a seamless experience for customers and internal teams.
By providing excellent support, you will enable the RDWP team to focus on design, installation, and commissioning tasks, driving the programme's success.Joining this dedicated project team at FILTEC means you will be a part of a specially selected engineering team with a clear purpose to deliver infrastructure to over 100 sites, making a positive impact to Maori communities nationwide.Key ResponsibilitiesDocumentation ManagementManage and track programme documentation using the InEight system, ensuring version control, compliance, and proper archiving.Capture and maintain communications in HubSpot, including emails and client interactions, for a comprehensive history.Provide site teams with timely access to key documents, such as design specifications and permits.Issue document packs to the client via Ineight and HubSpot.Audit and update documentation for accuracy, addressing issues proactively.Train team members on effective use of Ineight and HubSpot for consistent document management.Project CoordinationAssist with monitoring project schedules, preparing reports, presentations, and capturing meeting minutes.Track project updates, milestones, and deadlines, ensuring timely follow-ups and escalations as needed.Provide logistical and administrative support to site teams and project managers.Support risk and issue management, updating the risk register as required.Liaise with stakeholders, maintaining communication logs and stakeholder registers.Provide administrative support to the Project Manager, O&M Manager and Project Accountant.Customer FocusAct as the primary contact for customers, addressing inquiries and resolving minor issues promptly.Assist project manager to provide weekly updates on project progress, schedules, and documentation requirements.Maintain accurate records of customer communications in HubSpot and relay feedback to improve service delivery.Success Profile:Required:Excellent organizational and communication skills.Familiarity with engineering documentation control.2+ years Engineering Project experience - We're proud of the professional diversity at FILTEC, Project experience in Engineering in a variety of sectors may be transferable.Desirable (Advantageous)Project Management Qualifications.Relevant tertiary qualification in Engineering (Process, Chemical, Mechanical etc).Municipal experience with water and/or wastewater treatment (Highly regarded).Next Steps:As long as you have the right to work in Australia / New Zealand and are interested in learning more, you can express your interest by submitting your CV using this link.
