Job Overview: We are seeking a dedicated and reliable Office Manager to join our Christchurch team on a part-time basis. This role is essential in ensuring that our office operations run smoothly and efficiently, providing support to management and staff. The ideal candidate will have a minimum of 2 years of experience in an office administration role and possess a combination of strong organizational, critical thinking, and adaptability skills. Key Responsibilities: Office Operations Management: Oversee daily office operations, ensuring efficiency and adherence to company policies. Manage office supplies inventory, procurement, and vendor relationships. Develop and implement office procedures to enhance productivity and streamline processes. Administrative Support: Provide administrative support to management and various departmental teams, including scheduling meetings and maintaining calendars. Assist with the preparation of reports, presentations, and documentation as required. Coordinate travel arrangements and logistics for staff when necessary. Financial Management: Monitor and manage office budget, tracking expenses and identifying cost-saving opportunities. Assist in financial reporting, including invoice processing and maintaining financial records. Staff Coordination: Serve as the point of contact for all office-related queries and concerns from team members. Facilitate onboarding processes for new employees, including orientation and training coordination. Organize team meetings, events, and gatherings to foster a positive company culture. Health & Safety Compliance: Ensure compliance with health and safety regulations in the office environment. Conduct regular health and safety assessments and coordinate necessary training for staff. Project Management: Support various projects and initiatives, ensuring timely completion while adhering to project guidelines. Collaborate with team members to achieve organizational objectives and improve office functionality. Requirements: Education: High school diploma or equivalent; additional certification in office management or administration is a plus. Experience: Minimum of 2 years in an office administration role or similar position. Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software. Strong organizational skills with the ability to prioritize multiple tasks effectively. Excellent written and verbal communication skills. Capable of maintaining confidentiality and exercising discretion in sensitive matters. Personality Traits: Dedicated and reliable with a strong sense of accountability.
