* salary listed above is based on full time equivalent (FTE).___________JOB DESCRIPTIONExecutive Assistant for Business and Governance ProfessionalWe're looking for a smart, highly-organized Executive Assistant to support an independent business owner and Chair/trustee of boards, including in the arts/creativity sector.
This is a flexible, part-time role (20 hours/week) where you'll have the chance to help keep their business, board commitments and multiple relationships running smoothly, as well as a small bit of home management.You'll handle a wide variety of tasks — from managing calendars to preparing papers for meetings and everything in between.
We're looking for someone who's proactive, detail-oriented, and comfortable juggling multiple projects.
If you're a great communicator, tech-savvy, and enjoy making things happen for someone who likes to work on the go, this could be the perfect fit.Understanding Te Ao Maori and the arts, and valuing the importance of diversity in your work would be of benefit.
Experience in philanthropy and entrepreneurship would also be great.What You'll Be Doing1.
Executive SupportKeep the individual's calendar running like clockwork, scheduling meetings, appointments, and travel with ease.Draft, edit, and proofread emails, reports, and presentations — making sure everything is polished and on point.Serve as the go-to contact for internal and external communications, ensuring nothing slips through the cracks.Prepare materials for meetings — gathering everything from reports to presentations so the business owner is always prepared.2.
Board SupportHelp coordinate multiple board meetings, from scheduling and logistics to organising materials and agendas.Take minutes during meetings, and follow up on action items to ensure decisions are followed through.Communicate to board members on the Chair's behalf at times.3.
Project CoordinationLend a hand with ongoing projects, from research, to liaising with people to tracking progress.Organise hosting – from small events to invitations.Help out with budgeting, financial reports, and other documentation as needed.Take on ad-hoc tasks — no two days will be the same, so flexibility is key.4.
General AdminKeep the office supplies and equipment in check, and help manage relationships with vendors.Handle business expenses and reimbursements with accuracy and efficiency.Be the right-hand person to the business owner, helping with whatever's needed to keep the ship sailing smoothly.___________What They're Looking ForAt least 3 years of experience as an Executive Assistant or in a similar role supporting senior leaders.Strong communication skills, both written and verbal.
You'll need to interact with a range of people, from business partners to board members, to artists so professionalism is a must.Excellent organisational skills and the ability to juggle multiple tasks — if you love a good to-do list, this role is for you.Proficiency in Microsoft Office (Word, Excel, PowerPoint), and familiarity with project management tools is a plus.A sense of discretion when handling sensitive information — confidentiality is key.A proactive approach, with the ability to work independently and anticipate needs.Ability to work with a fast-moving person who is not at the desk often.A background in working with artists is a bonus.An openness to engaging with Maori tikanga (protocols) and understanding the significance of Maori values and traditions in business and governance.Who You AreYou've got great people skills — you'll be working closely with a variety of people and need to maintain a friendly yet professional approach.You're adaptable and thrive in an environment where things move quickly.You're a problem-solver — you'll find ways to get things done, even when there's no clear answer.You're reliable and trustworthy — you'll be handling confidential information, so discretion is a must.You value inclusivity and cultural awareness, and understand the importance of te ao Maori in business and governance settings.Working With This IndividualThis is a part-time role — 20 hours per week — with flexible hours, so you can work around other commitments.Some flexibility for occasional evening or weekend work will be needed, particularly around board meetings or special projects.The role can be done remotely or in-person, depending on your location and preferences.____________HOW TO APPLYIf this sounds like the kind of work you'd enjoy, we'd love to hear from you.
