Job responsibilities

  • Working under the guidance of the Head of Services, the Services Coordinator will provide operational and administrative support to the Accommodation, Guest Operations, Transport, Travel and Logistics functional areas. A key requirement within this role will be to establish and maintain efficient working relationships within the department and across other functional areas in supporting the tournamenttime delivery. The Services Coordinator will also play a key role in ensuring all functional areas successfully integrate and deliver on agreed service levels.

  • Provide administrative and planning support to all functional areas that sit within the Services department including the development of operational plans, policies and procedures.
  • Work with all functional areas to ensure that all project deliverables are achieved, and all client service levels are met.
  • Assist the department in the development of or input into key documentation including but not limited to the Team Base Camp catalogue, Team Handbook, Accommodation Guidebook, Service Level Agreements, Customs and Freight Guide and Venue Delivery Guide.
  • Liaise with appointed service providers on behalf of each functional area to obtain information as required.
  • Perform tournamenttime role within a centralized Services coordination group supporting functional area leads ensuring the successful integration between each area.
  • Coordinate Services requirements for events that take place in the leadup to the event including FIFA Visits and Team Visits.
  • Support the overall workforce planning and preparation process including the recruitment and training of all Services volunteers.
  • Work with each functional area lead to ensure an integrated IT solution can be achieved at tournament time
  • Assist with the preparation of readiness exercises and training material for Tournamenttime staff and volunteers, in close cooperation with the nominated lead within each functional area and the Project Management team.
  • Support the Services team with other duties as required including:
  • Collation of guest information for the delivery of VIP/VVIP program
  • Tournamenttime reporting
  • Development of planning documentation
  • Creation of maps and floor plans
  • Review and manage with each Senior Manager their project plan and key deadlines
  • Accreditation requirements for Services suppliers and workforce
  • Determine and manage the IT requirements for tournament
  • Determine and ensure all furniture, fittings and equipment requirements for tournament
  • Determine all signage needs are assessed
