Housing First is a people-centred service focused on securing and sustaining housing for individuals and whānau experiencing homelessness.

About the Role | Mō te Tūranga

The Housing First Administrator sits at the heart of the service and plays a critical role in ensuring the smooth, efficient delivery of Housing First operations. This is a varied, fast-paced role providing high-quality administrative, coordination and reporting support to the team and wider organisation.

You will be the backbone of day-to-day operations supporting staff, managing systems and data, coordinating resources and ensuring compliance across a values-driven, kaupapa-led service.

Key Responsibilities

Administrative & Office Support

  • Coordinate all team and leadership meetings
  • Manage stationery, bed orders and move-in pack coordination
  • Maintain accurate records and documentation

Data Management & Reporting

  • Collect, audit and enter client and programme data
  • Prepare reports for MHUD, Housing First Collective and internal teams
  • Maintain intranet content, spreadsheets and internal tracking tools
  • Manage Record base client files and internal audits

Client & Service Coordination

  • Support referrals, onboarding and housing placement processes
  • Liaise with Peer Support Workers and occasionally cover Duty support
  • Maintain effective communication across service providers

Financial & Resource Management

  • Process purchase orders and invoices through Business Central
  • Coordinate payments for supervision, training, beds and resources
  • Work closely with Finance, Leadership and Management

Compliance, Quality & H&S

  • Maintain feedback and complaints registers
  • Support audits and ensure compliance with policies and contracts
  • Actively contribute to health and safety practices

Workforce & Training Coordination

  • Coordinate first aid and staff training
  • Maintain an annual training calendar

Communication & Reception

  • Manage shared mailboxes, calls and correspondence professionally
  • Provide accurate information and escalate matters appropriately

What You'll Bring

  • Minimum 3 years' administration experience (not-for-profit preferred)
  • Strong Microsoft Office skills (Word, Outlook, Excel, PowerPoint)
  • Excellent attention to detail and data accuracy
  • Confident communicator with strong time-management skills
  • Understanding of (or interest in) social housing and homelessness
  • Cultural competence, including understanding of tikanga Māori and Te Tiriti o Waitangi
  • A values-led approach aligned with compassion, integrity, respect and courage
