We are on the search for a full-time, permanent Enrolment Specialist.

About this role

We are looking for an Enrolment Specialist who will be supporting international learners through their enrolment and transition journey through to AIC. This role sits within the Finance and Registry team and is responsible for managing the full admissions and enrolment process for new returning students – from application assessment, through to enrolment, re-enrolment, and final completion.

You will work closely with international students, education agents, and academic teams to ensure a seamless, high-quality experience. With strong attention to detail and a service mindset, you will provide accurate advice, maintain student records, support visa and insurance requirements, and ensure all admissions decisions aligns with relevant regulations and The Education (Pastoral Care of Tertiary and International Learners) Code of Practice 2021.

The role is ideal for someone who enjoys working in a fast-paced environment, has strong data accuracy skills, and is committed to delivering outstanding student service.

Your responsibilities will include the following:

  • Process student applications within agreed service timelines
  • Verify academic and identity documentation and ensure compliance with NZQA, Immigration New Zealand, and The Code
  • Maintain accurate student records in student management systems (e.g. SMS, Selma), including enrolments, re-enrolments, withdrawals, and course allocations
  • Generate invoices, reconcile course fees, and ensure financial records are accurate and up-to-date
  • Release and communicate English placement results, learner outcomes, and completion documents
  • Prepare graduation award lists and support reporting requirements
  • Maintain data for reporting and planning activities and contribute to continuous process improvement

Skills and Experience

To be successful in this role, we are looking for someone with the below skills and / or experience:

  • Experience in a student admissions, enrolments, or tertiary administration role (private training or vocational education experience highly regarded)
  • Demonstrated understanding of NZQA, Immigration new Zealand requirements, and The Education (Pastoral Care for Tertiary and International Learners) Code of Practice 2021 or ability to learn these quickly
  • Excellent attention to detail, especially with data accuracy, record management, and document verification
  • Strong customer service skills with the ability to support students from diverse cultural backgrounds
  • Effective written and verbal communication skills, including the ability to explain processes clearly
  • Experience working with student management systems (SMS, Selma) and confidence using MS Office
  • Ability to manage competing deadlines and prioritise in a busy, regulated environment
  • A proactive, solutions-focused approach and the confidence to escalate issues when required
