Tamatea Pōkai Whenua (formally known as Heretaunga Tamatea Settlement Trust) is the Post Settlement Government Entity representing 23 marae and 43 hapū within the Heretaunga Tamatea rohe (region).  The Trust was established to receive and administer the redress of the historical Treaty grievances of Heretaunga Tamatea against the Crown. The Trust's strategic vision of Mokopuna Mana Motuhake is driven by the three strategic objectives of Mana Rangatira, Mātauranga and Mana Tiriti.

What You'll Be Doing

As our Group Governance Facilitator, you will:

  • Coordinate and facilitate professional support and administrative services for TPW Board and Sub-Committees.
  • Set annual workplans, meeting dates, agendas, take minutes and maintain Action Register for all committee meetings.
  • Attendance at bi-monthly Board meetings held in the evening is required. This expectation also applies to other sub-committee meetings that are scheduled during, or extend into evening hours.

  • Prepare and distribute a concise summary of key discussion points for Trustees after each Board meeting.

  • Manage Declarations of Interest Register and Action Register, ensuring accuracy and timely follow-up.
  • Administer Diligent Software for meeting packs and ensure all materials are stored on TPW SharePoint.
  • Responsible for arranging kai (food) for Board and sub-committee meetings.
  • Lead communications and relationships with Trustees, Independent Members, and external stakeholders.
  • Organise travel arrangements for Trustees and Independent Members.
  • Maintain committee papers, files, and ensure accessibility for staff and committee members.
  • Ensure quality control for papers, minutes, and actions register.
  • Respond to queries from Trustees and Independent Members, and facilitate effective communication.
  • Contribute to a collaborative, high-performing team environment.

What You'll Bring

  • Relevant Business Administration (Level 5 or higher) or equivalent qualification (desirable).
  • Experience in office administration and governance support.
  • Excellent communication skills (written and verbal), including the ability to communicate in sensitive situations.
  • Highly developed organisational, time management, and planning skills.
  • Strong project management, logistical, and coordination abilities.
  • Attention to detail, accuracy, and professional presentation.
  • Proficiency in Microsoft Office Suite and Xero.
  • Cultural affinity to Ngāti Kahungunu ethos and commitment to Te Tiriti o Waitangi.
  • Understanding of economic, social, and cultural issues facing Māori, especially Heretaunga Tamatea Māori.
  • Ability to work well under pressure and adapt to changing priorities.
  • Commitment to working in a culturally sensitive and appropriate manner.
